Centre Director

Job description

Role Objectives:

Duties & Key Responsibilities:

Note: While certain duties and key responsibilities may be delegated, the Center Director retains full accountability for all center deliverables, irrespective of who is performing the task.


Operations:

  • Perform daily rounds and attendance data gathering - staff and children
  • Oversee that teachers ensure all operation related lists are upded
  • Inventory lists with photos each term (Termly Updates)
  • Staffing and children for camps (Weekly Updates)
  • Stationary / hygiene orders (Bi-Termly Updates)
  • Adhoc sheets
  • Update the allocation sheet ongoingly as needed for enrolments updates, while maintaining adherence to staff ratios and optimizing classroom usage.
  • Manage and prepare schedules for staff and office teams different schedules: annual leave, cleaning schedules, etc.
  • Manage children’s class lists
  • Ensure nurse’s logs and accident folders are up to date, recorded thoroughly, and communicated effectively through Little Lives
  • Review children’s files to confirm all mandatory documents are in place (medical, registration, terms & conditions, etc.).
  • Update child profiles in the Little Lives portal.
  • Fill in and complete CD reporting twice a term
  • Conduct weekly staff meetings
  • Education and Program Delivery
  • Perform regular classroom observations of teachers and all other staff present at the center
  • Review teachers’ weekly planning books and ensure staff are planning and executing the targets set within our curriculum while monitoring curriculum delivery in each classroom.
  • Approve/review and sign off on children’s report cards
  • Review class inventory lists and its resources, placing orders and signing off on them
  • Coordinate extracurricular activities (ECAs) with parents and stakeholders
  • Monitor the food program quality and ensure it is safely delivered to children
  • Organize and deliver training sessions covering operations, policies, education, and health and safety.
  • Family Engagement
  • Facilitate ongoing parent education and information-sharing through Little Lives, newsletters, parent days, and internal events.
  • Monitor and enhance family satisfaction through effective communication and eNPS scoring.
  • Manage the office cell phone for emergency preparedness and parents’ communication.


Human Resources

  • Promote staff satisfaction and track eNPS scoring.
  • Oversee and manage all recruitment and hiring activities in coordination with cluster managers.
  • Coordinate onboarding and offboarding processes in collaboration with the HR team.
  • Manage staff performance review processes (probation, annual review ..etc.).
  • Address staff related concerns and requests, taking appropriate and timely actions.
  • Oversee monthly payroll processing and fingerprint attendance systems.
  • Report on absenteeism trends and flag where action is needed.
  • Plan and manage staff annual leave schedules and ensure appropriate coverage.
  • Handle KHDA, ADEK, and SPEA staff approvals.


Enrolments

  • Track and manage KPIs related to enrollments, sales, and leavers.
  • Attend events and open houses to promote the center.
  • Manage the Book a Tour to Sale funnel: ensuring excellent family experience and utilizing Hubspot to support the process.
  • Participate in panels/webinars representing Babilou Middle East.
  • Analyze and share insights from sales funnel + action plans, Incident and Complaint Management.
  • Managing incidents and complaints, while ensuring proper reporting and documentation.


Quality Assurance


  • Maintain full compliance with engagED quality standards to uphold the center’s excellence.
  • Compliance.
  • Ensure accurate and timely data entry into KHDA/ADEK/SPEA portals for children, staff, and event information.
  • Maintain an updated center folder containing all center related licenses and contracts.
  • Manage inspections and ensure the implementation of all policies.
  • Ensure center compliance and health and safety standards are maintained at all times.

Finance

  • Prepare exception reports for Area Director approval in cases of refunds or special requests.
  • Manage the use of petty cash and Stars of the month
  • Support finance in the follow up on families’ payments when needed.


Site Management

  • Report and follow up on all facilities’ requests such as: authority requirements, Health &Safety emergencies, urgent requirements, maintenance, and Look & Feel of the nursery.
  • Ensure all areas are safe, clean, and maintained to the highest standards by conducting daily risk assessments and spot checks.
  • Accountable for all entrance and access to the site as well as managing the control of the center keys and fingerprint access to sit.
